About the customer

The customer is a local government organization located in Northern Ireland that employs over 3,000 staff. It requires parking administration for a proportion of those staff; however, parking resources were limited.

About the project

The organization was looking for a modern, reliable way to manage access to staff car parks across four locations. With limited digital licenses and no booking system in place, the organization sought a solution that would improve utilization, reduce administrative burden, and provide staff with a predictable, user-friendly parking experience.

“With only 250 digital licenses available for 330 staff and 137 parking spaces, we needed a solution that would increase flexibility, reduce license costs and provide a reliable, user-friendly booking system,” Facilities Manager.

The solution

Working in partnership with Lock’n’Go – a leading innovative solution built on stable and trusted technology for smart digital locks – and leveraging existing iLOQ intelligent padlock technology, the organization introduced an integrated booking and access control system that enables staff to reserve parking spaces in advance while ensuring secure, controlled entry to car park facilities.

The implementation began with a pilot deployment at a single car park, allowing both parties to test operational processes, gather user feedback and refine the integration between the Lock’n’Go platform and iLOQ’s battery-free smart padlocks.

Following three months of successful operation, the solution was expanded to three additional car parks, creating a consistent approach to parking access management across all four sites.

A key aspect of the project was the integration between the Lock’n’Go platform and the existing iLOQ ‘environment’. This required close technical collaboration to ensure that booking schedules, user permissions and digital credential allocation worked reliably and securely within the organization’s operating environment. This collaborative approach ensured the system evolved in line with business requirements and delivered stable, predictable access behavior across all sites.

How everyday life became more secure and efficient for the local government organization

Improved resource management

The introduction of a booking-led approach has enabled the organization to manage parking availability more effectively and achieve a measurable (20%) reduction in average licence usage (from 250 to an average of 200).

This has helped the organization to optimize its investment while maintaining full operational coverage.

Enhanced operational efficiency

The first three months focused on cleaning up the database and refining key allocation processes. Since then, there have been zero support requests, access behavior across all sites has been stable and predictable and facilities teams now manage day-to-day administration with minimal IT dependency.

Better user experience

Staff can now reserve parking spaces in advance, giving them greater certainty when planning travel to office locations. The administrative interface has also provided support staff with improved oversight of bookings and access permissions.

Close cooperation

As with many digital transformation projects, the implementation phase highlighted several technical and operational challenges that required refinement. A significant factor in the project’s progress was Lock’n’Go’s responsiveness in working alongside the organization to identify root causes, develop fixes and deploy improvements.
